The First-Time Project Manager Toolkit
Someone handed you a project. Nobody handed you a manual.
The First-Time Project Manager Toolkit walks you through your project one step at a time, from the first meeting to the final wrap-up. You get a plain-English guide, a project workbook that does the math for you, editable templates for every document you'll need, and one complete example project filled in from start to finish.
You don't need to know everything about project management. You need to know what to do next.
WHAT'S INCLUDED (5 files, instant download)
• Beginner Guide (PDF, 59 pages): START HERE, 10 steps in order, troubleshooting, FAQ, printable blank templates
• Project Workbook, BLANK (Excel .xlsx): dashboard, tasks, milestones, RACI, budget, spending log, risks, issues, changes, action items, weekly status report
• Project Workbook, EXAMPLE (Excel .xlsx): the same workbook filled in with a complete sample project
• Editable Templates (Word .docx): kickoff questionnaire, project charter and scope, meeting agenda, meeting notes, weekly status report, change request, closeout checklist and lessons learned
• Project Manager Cheat Sheet (1-page PDF)
HOW IT WORKS
1. Read START HERE. A 10-minute quick start tells you what to do today.
2. Follow the 10 steps in order. Each one says what to do, shows a filled-in example, and tells you how to check your work.
3. Update once a week. About 15 minutes in the workbook. Your status report fills in its own numbers.
WHAT YOU'LL BE ABLE TO DO
• Define what success looks like, with real numbers and dates
• Write down what's included in the project and what isn't
• Break a big goal into tasks with one owner and one due date each
• Track planned vs. actual spending and see what's left
• Spot risks early and log problems the day they happen
• Run short meetings that end with clear action items
• Report delays honestly, with a simple 4-part script
• Handle change requests without losing control of the project
• Close the project cleanly and write down lessons for next time
THE WORKBOOK DOES THE MATH
Type your tasks, dates and bills. The dashboard calculates completion %, budget remaining, forecast cost and overdue work, and flags trouble in red: late tasks, blocked work, categories heading over budget, risks you haven't reviewed, and overdue action items. Every formula is explained in plain English inside the workbook.
ONE EXAMPLE, START TO FINISH
Follow Dana, an office manager running her first project: moving a 12-person office. You'll see her kickoff notes, signed charter, task list, budget, a risk that turns into a real problem, the status report where she goes Yellow, the change requests she approves and rejects, and her closeout.
MADE FOR
Office managers and admins, new team leads and supervisors, small-business owners, nonprofit staff and volunteers, and anyone with no project management training, software or budget.
WORKS IN
Microsoft Excel 2010 or newer, Excel for the web, Google Sheets and LibreOffice. Templates open in Word or Google Docs. Apple Numbers opens the workbook, but drop-down lists and color warnings may not carry over.
PLEASE NOTE
• This is a digital download. No physical item ships.
• A practical starting point for small and medium projects. Not a certification, PMP prep, or a substitute for the project controls your industry or employer may require.
• The workbook tracks dates, flags overdue and blocked work, and checks task dependencies. It does not calculate a critical path or predict your finish date.
• For use on your own projects. Please don't resell or share the files.
